Role Summary
Bioscope Foundry is hiring a Virtual Medical Assistant with deep, hands-on experience supporting physicians in a clinical practice setting. This person will serve as a trusted operational backbone for our foundry clients, and will handle the full spectrum of practice workflows so physicians can focus on patient care. You know what it takes to keep a practice running: you’ve managed prior authorizations, tracked licenses, handled prescription tasks, coordinated referrals, and kept a schedule from falling apart. That experience is the foundation of this role.
What You’ll Do
Physician & Practice Support
- Manage physician licensing, credentialing, and DEA/state registration renewals — tracking deadlines and coordinating submissions proactively
- Process prior authorizations from initiation through approval, including peer-to-peer coordination and appeals
- Handle prescription-related tasks including refill requests, pharmacy coordination, medication reconciliation, and controlled substance compliance
- Prepare and maintain patient charts for upcoming visits — pulling records, flagging gaps, and ensuring documentation is complete
- Manage referral workflows from order entry through scheduling confirmation and record transfer
- Support clinical inbox management: triage messages, lab and imaging results, and patient questions, routing to the physician with appropriate context
- Coordinate care across specialists, facilities, and ancillary services on behalf of the physician and care team
Patient-Facing & Administrative Operations
- Handle patient intake, demographic verification, scheduling, private billing, and creation of superbills.
- Communicate with patients regarding appointments, follow-ups, referrals, and outstanding items
- Manage task queues, follow-up lists, and outstanding action items to ensure nothing falls through the cracks
- Client Onboarding & Workflow Support
- Help new practice clients get up and running quickly by mapping existing workflows and filling operational gaps
- Serve as day-to-day operational support during the first 30–90 days of client engagement
- Document recurring issues, edge cases, and process improvements to strengthen our support model
Workflow Documentation & Automation Support
- Systematically document day-to-day workflows in detail — capturing steps, decision points, exceptions, and edge cases — so that processes can be evaluated for automation
- Partner with the Foundry team to translate documented workflows into structured SOPs and automation-ready process maps
- As automation is introduced, serve as the human-in-the-loop operator who monitors outputs, catches exceptions, and ensures quality before and after handoffs to automated systems
- Over time, shift from performing manual tasks to overseeing and supporting the automated workflows you helped build — becoming a key part of continuous improvement
Required Qualifications
- 4+ years of experience as a Medical Assistant, care coordinator, or practice operations specialist in a physician’s office, clinic, or specialty practice
- Direct experience managing prior authorizations, prescription workflows, and physician credentialing/licensing
- Familiarity with EHR platforms
- Exceptional attention to detail and follow-through — you track deadlines and close loops
- Clear written and verbal communication; ability to work independently without close supervision
- Sound judgment about when to act, when to verify, and when to escalate
Preferred Qualifications
- Experience in primary care, internal medicine, or a specialty practice environment
- Familiarity with controlled substance regulations and e-prescribing compliance
- Experience supporting a solo or small-group physician practice
- Background in virtual or remote clinical support roles
- Comfort creating SOPs or training materials for practice workflows
What Success Looks Like
In the first 90 days, you will have taken ownership of complex, time-sensitive workflows — prior auths, licensing deadlines, refill queues — without things slipping. Physicians and practice staff will trust you to handle details independently and surface the right issues at the right time. Clients will feel like they gained a seasoned team member.
